Position Summary

Nicola Wealth is looking for an experienced Office Manager. This is an exciting opportunity to lead a growing team within the firm, responsible for providing exceptional office operations and services while building relationships with our high-net worth clients. This is a client facing role that works in collaboration with all departments within the firm. This is a senior position that ensures the smooth running of the office and helps to create a positive work environment and client experience. The ideal candidate will have strong front office experience, exceptional customer service skills and a proven ability to lead.


As an Office Manager, your main responsibilities will involve:

  • Front office management, which includes using your exceptional customer service skills to greet clients upon arrival. You will play a key role in their first impression of the firm which sets the tone for a superior client experience
  • Providing direction and oversight, coaching and development to the Executive Assistant team and the reception administrative assistant on another floor
  • Partnering with the Chief Operating Officer to update and implement office policies and procedures
  • Office Space Requirements – helping to review and maintain annual office and renovation budgets and assist with planning and implementation of future office expansions
  • Collaborating with department leads to evaluate their future office and service needs
  • Negotiating and managing contracts with office vendors and service providers
  • Liaising with building management regarding maintenance issues as they arise, including oversight on equipment maintenance, and the general office space
  • Health and Safety: creating and maintaining emergency response teams for all offices


As an Office Manager, your skills and qualifications will include:

  • A minimum of 8 – 10 years’ experience as an office manager in a professional service industry, including a strong background in customer relations and service
  • The ability to anticipate and foresee areas of concern in advance
  • Strong critical thinking skills combined with sound judgement and confidence to act independently
  • Completion of a business degree or combination of education and experience
  • Experience working in a high performing office with proven ability to work in a dynamic fast paced environment
  • MS Office software proficiency with an ability to rapidly master technology
  • Experience to lead, work with and empower a diverse team
  • Treating colleagues and clients in a sincere manner which demonstrates integrity, honesty and fairness
  • Strong interpersonal and relationship management skills to build trust with clients, staff and management
  • Experience with managing projects related to office renovations and moves
